Arts Finance Administrator

Doorstep Arts is seeking an experienced Arts Finance Administrator (self-employed/freelance position) for a May 2019 start – to lead on the Finance and Administration functions of the organisation.

The Arts Finance Administrator is responsible for the confident, efficient and effective day-to-day operations, in particular all the Financial, Reporting and Administrative activities of Doorstep Arts’ participatory arts education delivery. This role will suit someone with proven experience of finance and administration within the arts and/or not-for-profit sector. The role is a key part of a small, highly committed team – supporting the Co-Directors and wider team to coordinate the day to day operation of Doorstep Arts. Doorstep Arts is a person-centred CIC organisation, embedded in our local community, therefore the ideal candidate will live within a reasonable catchment area of Torbay. This is a fixed term post until 31 March 2022.

Essential characteristics:
A confident communicator with strong people skills and capacity to work as part of a collaborative team.
Highly organised with ability to delegate, work independently and prioritise workloads.
Extensive experience with finance systems, sending/receiving invoices, cash handling.
Experience in office skills & reception, including email & phone communications & proven experience with MS Word/Excel
Key traits: integrity, flexibility, responsiveness, working well under pressure, ability to prioritise responsibilities & work toward your own goals/deadlines.

Desirable characteristics (training can be provided):
Experience with Xero (or equivalent accounting software such as Sage, or similar accounting software).
Experience of mail-out software such as Mail Chimp or similar newsletter/bulk mail programmes.
Knowledge and understanding of participatory arts/youth work/education settings, including DBS processing, insurance, grant-funding processing, and collaborative team working.
Experience handling registrations for children/young people’s participatory courses, including communications with parents/carers/families.

The role/responsibilities will include:
Acting as central coordinator for all creative delivery strands, ensuring that administrative, financial and monitoring systems are reviewed/up-to-date on an ongoing basis.
Handling all financial transactions for Doorstep Arts, processing invoices, working collaboratively with our accountant to provide monthly, quarterly and yearly reports for HMRC and funders (i.e. Arts Council England, BBC Children in Need, trusts and foundations, etc.)
Coordination of team performance monitoring for annual reporting requirements, and submission to key partners and funders.
Attending core team meetings, including board-meetings and finance sub-committee meetings, recordings minutes and allocating actions to team members.
Staffing the Doorstep office in Paignton, handling enquiries from parents, participants, artists, partners and other key stakeholders, and being the main administrative point of contact for the organisation (in a part-time capacity).

Hours & rate of pay:
20 hours/week for a fixed-term period
The position is paid at £15/hour, in a freelance capacity (i.e. not PAYE)
